Advena

Every lead answered. Every lead routed. Nothing lost in your WhatsApp.

Advena is an assistant that lives inside your existing WhatsApp Business number. It greets every new enquiry instantly, asks the few questions you need, and hands the conversation to the right person with a summary, while you keep working from your phone exactly as before.

An assistant for the hours between “a lead wrote” and “a human replied”

A small practice's WhatsApp fills faster than anyone can read it. New enquiries sit behind existing-client messages, the same first questions get typed out a hundred times, and the person who wrote at 23:40 has found someone else by morning.

Advena works inside your existing WhatsApp Business number: it captures every incoming message, recognises who is writing, asks the minimum questions you configure, and routes the conversation to the right person with a summary. The moment someone on your team replies, the assistant goes silent in that conversation. It asks, records, routes and reports. It never gives advice or decides anything about a case; those always reach a person.

Built for small professional practices

Immigration consultancies and legal practices of one to ten people who run their client communication on WhatsApp: first in Poland, now also talking with practices in Germany and the United Kingdom. If your clients reach you on WhatsApp and your inbox is the bottleneck, this is for you.

What it does

  1. Captures every message.

Every inbound WhatsApp message becomes a record. Nothing disappears, nothing is duplicated, and you can see the owner and age of every open lead.

  2. Tells new leads from existing clients.

The assistant recognises who is writing (a new enquiry, an existing client, an urgent situation) and treats each differently. Existing clients are acknowledged and routed to their consultant; the assistant never answers case questions itself.

  3. Qualifies new leads with a short questionnaire.

It introduces itself honestly as an assistant, identifies the service and language, and asks only the minimum questions you configure, in the lead's language, so you know what the enquiry is before you open the chat.

  4. Routes to the right person, with a summary.

Each lead reaches the specialist you've mapped for that service (or a backup), with the answers collected and a concise handoff note. If nobody picks it up in time, you're alerted.

  5. Keeps you informed from a separate assistant number.

Hot-lead alerts when it matters, and a daily digest of what's waiting (new qualified leads, unowned conversations, ageing items, promised follow-ups), respecting your quiet hours.

Currently in pilot

We're working with a small number of pilot partners to measure one thing: fewer missed leads, faster first replies. If you'd like to be one of them, write to us. Your clients' data stays yours: EU-hosted, processed on your behalf under a written agreement, deleted on a schedule you control.
